Hosting a holiday party is one of the most stressful things you can plan during the latter half of the year. The bigger the holiday party, the more that you have to plan and the harder that it gets. That’s why today, Veebo is jumping in to give you a helping hand with any last-minute vendor planning.

1) Make a DETAILED List

If you want to host a party within the next few weeks, then you’re going to need a detailed list to pull it off. Think about the goods and services that you’ll need to host the party. Think about any expert knowledge that could help. Write down your questions, needs, wants, and ideas.

Then, take that and pair it down until you have a list of exactly what you need to host your party. Lookup any important questions you have and then make sure you know which vendors you’ll need to reach your party goals.

1.1) Example list:

If you need help getting started, then take a look at the list we’ve created to help you get started.

Vendors:

  • Location:
  • Food:
  • Music:
  • Photography:
  • Decorations:
  • Photo Booth:
  • Cake:

Questions:

  • Who is coming?
  • What is the budget?
  • Will we have people with dietary restrictions?
  • Will there be children?
  • Can we do personally handle the location or food to reduce costs?

2) Contact Vendors

The first thing you’ll need is a space if you don’t have one already. Other than that, think about your photography, food, tables, music, and decoration needs. Use a vendor management system like Veebo to contact vendors.

Make sure you ask about their last-minute bookings and include a detailed list of what you expect from them. The more information you give them, the faster you can get contract terms and a full booking for your dinner party.

2.1) Facebook Groups

If you can’t find vendors through traditional means, that could because most are already booked for the holiday season. This is when you will have to take to the internet to find the vendors you need. Facebook Groups are great ways to find vendors in your area.

Simple join a group in your area and ask about your needs. Chances are, vendors that have time and space will message you and let you know what they can do. However, be sure that you are booking with someone reputable by checking reviews, and asking for references as possible.

3) Negotiate & Sign Agreements

Since it’s so late in the holiday, there’s a high chance that you don’t be able to get the rate you pay lowered. However, you can still make sure you’re getting the best deal for your money. Look at each of the terms vendors send you.

Look at what each is giving you compared to the price that they are charging. If you see one that’s giving a lot for a little, look to see if you can get the others to come down in price as well. Depending on the vendor, you could see them price match or even beat their competition to get your business.

Once you’ve come to an agreement with one vendor, you should both sign a detailed contract to be sure that everything is written out and safe for the day of the party.
